ADMINISTRATIVE ASSISTANT

OFFICE COORDINATOR

Join our exceptional team as an Office Coordinator, where you will play a vital role in supporting the Leadership Team and ensuring efficient operations. Under the direct supervision of the Human Resource Manager, you will be responsible for a wide range of tasks, including analyzing data, organizing meetings and events, and preparing presentations. This is a full-time position, with 100% onsite work required, providing a dynamic and stimulating work environment.

Primary Responsibilities:

- Manage and maintain confidential organizational reports and records, ensuring prompt follow-up on pending matters and handling sensitive information discreetly.

- Provide comprehensive administrative support to the CEO, including coordinating tours, meals, travel arrangements, meetings, dinners, and trainings.

- Maintain metric worksheets and generate monthly reports for review and analysis.

- Manage the CEO's expenses using Concur expense system.

- Create engaging PowerPoint presentations and coordinate meeting bookings.

- Assist Contracts Administration team with tasks such as drafting agreements and preparing NDAs.

- Stand in as a backup for the front desk as required.

- Plan and coordinate exciting annual company events, including holiday gatherings, golf outings, and Camp Jorn activities.

- Independently manage internal and external correspondence.

- Undertake additional duties as assigned, contributing to the overall success of the team.

Required Qualifications:

- Minimum of 6 years of experience in an office setting.

- Demonstrated strong organizational skills with the ability to handle multiple tasks simultaneously.

- Highly flexible and proactive, capable of managing urgent, confidential, and complex tasks while adapting to changing priorities.

- Proficient in using Outlook, Word, Excel, and PowerPoint software.

- Excellent written and verbal communication skills, including strong interpersonal abilities.

- Ability to maintain a high level of confidentiality, reliability, discretion, quality, and professionalism.

- Effective at interacting with individuals at all levels within the organization, as well as external contacts including customers.
