Our client, a dynamic and expanding national law firm with offices in Palo Alto, is seeking a skilled Intellectual Property Paralegal to support attorneys in their transactional IP practice. This role is ideal for a detail-oriented professional with extensive IP due diligence experience, as over 50% of the responsibilities center on due diligence across trademarks, patents, copyrights, and domain names.

Key Responsibilities:

  • Conduct comprehensive IP due diligence, including trademarks, patents, copyrights, and domain names

  • Record ownership transfers, security agreements, and releases with the USPTO and U.S. Copyright Office

  • Prepare and file U.S. trademark applications, office action responses, statements of use, declarations of use/incontestability, and renewals

  • Manage domestic and international trademark portfolios, including docketing and deadline tracking using CPI

  • Conduct and summarize trademark clearance searches

  • Research and prepare cost estimates for domestic and international filings and renewals

  • Assist with TTAB proceedings and draft related documents

  • Draft and file international applications (Madrid Protocol), responses to irregularities, designations, and renewals via WIPO

  • Coordinate with foreign counsel on trademark filings, renewals, oppositions, and enforcement matters

  • Handle state trademark applications, renewals, and ownership transfers

  • Draft and file copyright applications, and manage related ownership and security agreements

  • Monitor and summarize correspondence from USPTO, WIPO, TTAB, Copyright Office, and foreign associates

  • Oversee legalization of documents and customs recordations

  • Coordinate the intake and management of newly acquired trademark portfolios

  • Maintain client portfolio status reports and ensure files are properly maintained in iManage and other internal systems

  • Assist with special projects, including UDRP actions, demand letters, and adverse matters

Qualifications:

  • Bachelor’s Degree required

  • Paralegal certificate from an ABA-approved program required

  • Minimum of 5 years of relevant IP paralegal experience preferred

  • Strong analytical, organizational, and communication skills

  • Ability to handle multiple priorities in a fast-paced, collaborative environment

  • Proactive mindset with a high level of attention to detail

  • Flexibility to work overtime as needed

  • Ability to work both independently and with team members across multiple offices

Technical Skills:

  • Proficiency with Microsoft Word and Excel required

  • Experience with CPI (or equivalent docketing system), Westlaw, CompuMark/Saegis, and Orbit Intelligence preferred
