Law Firm Administrator (55469)

Our client is seeking an experienced individual to fill the position of Legal Operations Manager in Houston, TX. This is an opportunity to join our team and take on a senior leadership role. The successful candidate will be responsible for managing various administrative functions for our Houston office, including Human Resources, Operations and Facilities, Administrative Support, Financial Planning, and Staff Recruiting.

Responsibilities:

Leadership

  • Show strong leadership qualities and guide the office in accordance with our firm's Service Excellence Standards. Foster a culture of innovation and embrace change.
  • Collaborate with senior leadership on firm-wide initiatives and contribute to achieving the firm's business goals.
  • Support and lead various projects and programs in the office, such as IT projects, HR initiatives, and client events.
  • Work collaboratively with the firm's leaders to strategize and improve the office's performance.
  • Perform assigned duties as required.

Human Resources

  • Create a positive work environment that promotes high morale, productivity, efficiency, and motivation among staff.
  • Manage recurring HR tasks, including secretarial assignments, new employee orientation, performance evaluations, and compensation planning.
  • Provide clear direction and leadership to staff members on projects and assignments.
  • Conduct regular staff and administrative meetings.
  • Oversee staff recruiting efforts to identify and hire top-tier candidates who align with the firm's growth and business development goals.

Operations and Facilities

  • Direct and oversee the day-to-day operations of the office to ensure efficient delivery of services to all personnel.
  • Collaborate on space planning, including layout, plan review, and construction management. Coordinate with firm-wide departments for office furniture, furnishings, and equipment purchases. Maintain effective communication with building management and engineering.
  • Ensure outsourced services, such as mail/copy/fax, meet the office's needs.

Administrative and Support

  • Supervise Assistants and Office Services professionals to ensure attorneys and staff receive timely and high-quality administrative support.
  • Manage headcount effectively, finding ways to improve efficiency while maintaining service levels.

Financial Planning

  • Prepare, analyze, and maintain accurate operating and capital budgets for all areas of responsibility.
  • Regularly review budgets, invoices, and vendor payments to ensure adherence to the budget. Provide variance analyses and explanations when necessary.
  • Collaborate with the Office Head on practice management responsibilities.
  • Lead efforts to manage expenses throughout the office effectively.

Requirements:

  • Minimum of 5 years' experience as an Office Administrator or senior-level business manager in a law firm setting.
  • Demonstrated success in human resources or administrative management roles within growing organizations.
  • Proven leadership and management skills with a track record of implementing ideas and driving positive change.
  • Experience in facilities management, including design, construction, contract negotiations, and project management, is a plus.
  • Knowledge of basic accounting principles, including budget management.
  • Strong communication, problem-solving, leadership, and diplomacy skills.
  • Ability to build strong relationships and work collaboratively with a variety of stakeholders.
  • Excellent organizational and project management skills.
  • Capability to make sound business decisions.
  • Proficiency in Microsoft Office Suite.
  • Bachelor's degree preferred.
  • Outstanding relationship-building skills and the ability to collaborate effectively with senior administrative managers, staff, partners, and associates.
