Legal Assistant / Paralegal (Hybrid)

Our prestigious client, a leading law firm in Austin, is currently seeking an experienced Paralegal / Legal Assistant to provide administrative and legal assistance to a team of attorneys. This role is crucial in ensuring smooth legal operations, especially in the areas of litigation, condemnation, and insurance defense. Responsibilities:

  • Maximize workflow and efficiency for attorneys by utilizing advanced legal technology.
  • Create and format various legal documents, such as appellate briefs, pleadings, and correspondence.
  • Handle e-filings in state and federal courts, ensuring compliance with deadlines and keeping track of file-stamped copies.
  • Organize and manage both electronic and physical case files using document management systems (iManage) and well-structured filing methods.
  • Efficiently manage calendars, schedule appointments, meetings, and make travel arrangements for attorneys.
  • Handle daily administrative duties, including mail processing, scanning, faxing, and document transmission.
  • Maintain accurate client and case records to ensure proper tracking of progress and correspondence.
  • Assist with opening and closing case files, conducting conflict checks, and maintaining master file lists.
  • Process attorney expense reimbursements through ChromeRiver and track time entries for precise billing.
  • Serve as a professional point of contact for the firm, clients, court personnel, and external stakeholders, consistently exercising discretion and good judgment.
  • Be flexible to work overtime as needed during periods of heavy litigation.

Requirements & Skills:

  • A minimum of 5 years of experience in litigation support within a law firm.
  • In-depth knowledge of legal terminology, court procedures, and document formatting.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, PDF) and familiarity with legal support tools.
  • The ability to manage multiple priorities, work well under pressure, and adapt to changing legal needs.
  • Excellent written and verbal communication skills, including strong grammar, proofreading, and transcription abilities.
  • Exceptional attention to detail, strong organizational skills, and the utmost commitment to maintaining confidentiality.
  • A high school diploma is required; an associate degree, business school certification, or related legal education is preferred.
