Legal Assistant / Paralegal

Location: Baton Rouge, LA

Our esteemed client is in search of a Legal Support Specialist to provide assistance to a team of attorneys within the Litigation practice group in Baton Rouge. This role involves performing a range of secretarial, administrative, and substantive legal tasks.

This position requires working onsite in downtown Baton Rouge during regular office hours from 8:30-5:00.

Job Description:

  • Utilize technology resources to optimize the efficiency and effectiveness of the team of attorneys.
  • Create documents by transcribing, formatting, inputting, editing, retrieving, copying, printing, and transmitting text, data, and graphics using office software applications.
  • Possess knowledge of the legal processes necessary for accurately preparing client documents and meeting filing or closing deadlines.
  • Prepare and manage e-filings and filings in state courts when required. Handle incoming and outgoing mail, faxes, and document scanning.
  • Ensure that documents are appropriately saved and filed in the relevant workspaces/folders in FileSite and paper files.
  • Maintain the daily calendar for each attorney, which includes scheduling appointments, meetings, and travel arrangements.
  • Manage Outlook contacts for each attorney as necessary.
  • Assist with opening and closing files and conducting conflicts checks.
  • Provide support to attorneys with timesheets and routine billing matters.
  • Submit reimbursement requests for attorneys through ChromeRiver and handle client costs through Accounts Payable.
  • Maintain a professional and collaborative relationship with clients, exercising discretion and judgment as needed.
  • Regular and dependable attendance is a fundamental aspect of this role.

This position primarily entails Legal Assistant work, with some billable Paralegal tasks as well.

Qualifications and Required Skills:

  • A high school diploma or equivalent is necessary, while an Associate’s Degree, certificate from Business School, or related education is desirable. Significant prior experience could substitute for a combination of these educational requirements.
  • Preference will be given to candidates with at least 3 years of litigation secretarial experience in a law firm setting.
  • Proficiency in implementing office software applications such as Word, Excel, PowerPoint, Outlook, and PDF is crucial.
  • Working knowledge of legal practices, terminology, documents, and court procedures is essential.
  • An adaptable, problem-solving approach and the ability to handle multiple priorities and work under pressure are important.
  • Excellent abilities in typing, spelling, grammar, proofreading, transcription, and general clerical activities.
  • Capability to coordinate work tasks, create legal correspondence and documents, transcribe dictation, and organize and maintain files and records.
  • Aptitude for operating standard office equipment, including personal computers, copiers, multi-function printers, fax machines, and telephones.
