Legal Billing Coordinator
Join our team in the Accounting Department as a Billing Specialist, responsible for ensuring accurate and timely completion of all billing tasks. Collaborate with both internal and external clients to adhere to client and firm guidelines when distributing invoices. This role reports to the Billing Supervisor and is non-exempt.
Key Responsibilities:
- Oversee the entire billing process for a designated group of attorneys and/or clients, following client and company guidelines, including but not limited to:
- Generate, distribute, modify, prepare, and record pre-bills
- Collaborate with attorneys and clients to implement specific billing instructions
- Set up client/matter details in the time and billing system, ensuring compliance with requested billing formats, client discounts, and e-billing requirements
- Manage all aspects of e-billing, utilizing e-billing software or manually submitting invoices. This involves handling requests for new timekeepers, resolving rejection errors, and producing reports
- Ensure client and attorney preferences are taken into account.
- Respond professionally and promptly to inquiries from internal and external clients.
- Identify and escalate billing-related issues to the supervisor, collaborating on appropriate actions to be taken.
- Collaborate with the billing supervisor to establish/modulate billing guidelines for new or existing clients and attorneys.
- Maintain detailed documentation of procedures, deadlines, and other billing and client/attorney interaction preferences.
- Perform other assigned duties as required.
Required Knowledge, Skills, & Abilities:
- Associate's degree in business, accounting, or finance, or equivalent experience, with a minimum of two years in billing.
- Preferably, experience in a law firm using Aderant and/or Elite systems.
- Strong analytical skills and proficiency in Excel.
- Knowledge of automated accounting systems and general accounting principles.
- Experience with third-party electronic billing software is desirable.
- Dedication to delivering exceptional service to attorneys, advisors, and staff, while fostering teamwork and continuous improvement.
- Excellent verbal and written communication skills.
- Effective time management, prioritization, and ability to work autonomously.
- Highly proactive and adept at problem-solving, making independent decisions within set boundaries.
- Ability to apply complex mathematical concepts, reconcile balances, verify numerical data, and generate various billing and collection reports.
- Adept at managing multiple priorities in a fast-paced, deadline-driven environment.
- Initiative to increase value to the role, with a willingness to take on new responsibilities.
- Solid understanding of general accounting principles.
