Legal Secretary – Floater
Our client, a law firm located in Houston, TX, is seeking an experienced Legal Secretary/Legal Administrative Assistant to fill the role of Float Secretary. This position requires the ability to work both independently and collaboratively, and entails a variety of tasks as assigned. Responsibilities of the role include:
- Assisting with the planning and attendance of meetings for the firm's municipal utility district clients, taking notes of board actions and decisions.
- Drafting and preparing agendas, orders, and resolutions for Board of Directors meetings, including multilingual agendas for election matters.
- Ensuring that proper legal procedures are followed at Board meetings.
- Preparing minutes of the Board meetings.
- Interacting with Directors and various consultants for the districts.
- Preparing documents for land annexation approval and administering applications.
- Providing documents for annual investment policy reviews and preparing certificate pages.
- Maintaining district files and permanent documents.
- Reviewing and finalizing correspondence, including proofreading, editing, and redlining.
- Recording billable hours on the firm's tracking system.
Requirements:
- Must have at least 4 years of experience supporting corporate/transactional attorneys in a law firm setting.
- Minimum of 2 years of administrative assistant experience, with strong typing, editing, and clerical/administrative skills.
- Advanced knowledge of Microsoft Office suite (Word, Outlook, Excel), Workshare Compare, and document management systems, such as NetDocs. Working knowledge of Adobe Acrobat is also required.
- Preferred, but not required, knowledge of Texas real property online recordings, Texas Secretary of State recordings/searches, and Texas Comptroller systems.
- Knowledge of e-filing in State and Federal courts is a plus.
The compensation for this position includes salary with overtime pay and is competitive based on experience and skill level. A yearly discretionary bonus is possible. The firm also offers medical, dental, vision, life, and disability insurances with several no-cost options for employee coverage. Other benefits include a 401(k) retirement plan with employer matching and discretionary yearly plan profit-sharing, paid holidays, paid time off, and fully paid parking. The standard work week is 37.5 hours.
