Our client is seeking an Administrative Operations Coordinator. The ideal candidate will be responsible for overseeing various administrative tasks, managing financial records, and ensuring the efficient operation of the office. We are looking for a proactive individual with excellent communication skills and a solid understanding of accounting principles.

Key Responsibilities

  • Manage and maintain accurate financial records, including accounts payable and receivable, payroll, and general ledger entries.
  • Ensure the accurate recording of all financial transactions and reconcile bank statements.
  • Provide assistance with Shipping/Receiving activities, such as packing and UPS.
  • Assist in the preparation of tax returns and ensure compliance with relevant regulations.
  • Handle invoicing, expense reporting, and petty cash management.
  • Facilitate inventory of goods in vending machines and cribs.
  • Oversee the day-to-day office operations to guarantee efficiency and productivity.
  • Monitor office supplies inventory and place orders when necessary.
  • Handle incoming and outgoing correspondence, including mail, emails, and phone calls.
  • Coordinate office events, meetings, and appointments.
  • Maintain and update company databases and filing systems.


  • High school diploma required; preference given to candidates holding Associates or Bachelors degrees in Accounting, Finance, Business Administration, or related fields.
  • Demonstrated experience as a Bookkeeper, Office Administrator, or in a similar role.
  • Proficiency in accounting software, such as QuickBooks, and the MS Office Suite (Excel, Word, Outlook).
  • Excellent understanding of bookkeeping and accounting principles.
  • Strong organizational and time management abilities.
  • Attention to detail and accuracy in financial record-keeping.
  • Effective communication and interpersonal skills.
  • Ability to work independently and collaboratively as part of a team.
