Project Coordinator

We are currently hiring a skilled and dedicated Project Coordinator to join our team in Waltham, MA. The role of the Project Coordinator involves overseeing the daily coordination of both internal and external agencies in managing assigned projects. We are looking for someone who is committed to providing high levels of customer satisfaction through effective project management and excellent interpersonal skills. The successful candidate will utilize best practices and company procedures to ensure the timely completion of projects, ultimately maximizing profitability. This role requires the ability to thrive in a fast-paced environment and effectively manage multiple tasks and demands.

Responsibilities:

  • Demonstrate a comprehensive understanding of the different trade areas involved in construction project management, including plumbing, electrical work, painting, carpentry, and HVAC systems.
  • Create, monitor, and track project timelines to ensure projects are completed by the company-established deadline.
  • Manage project budgets and contracts, tracking expenses and ensuring they remain within budget throughout all project phases.
  • Utilize a three-bid acquisition system to secure job materials in a timely and cost-effective manner, ensuring their availability for each project.
  • Coordinate with customers and team members to address and resolve any change orders or issues that arise during a project.
  • Conduct regular team meetings to ensure work is on schedule, within budget, and complies with technical, safety, and legal requirements.
  • Provide supervision and guidance to Maintenance Technicians assigned to the project.
  • Cultivate respectful working relationships with subordinates, outside vendors, and subcontractors.
  • Communicate weekly updates to Principals and the Director of Operations through electronic mail using the "15-Minute Report" format.
  • Perform daily walk-throughs of project sites to ensure subcontractors are meeting quality standards.
  • Understand and interpret blueprints, job specifications, proposals, and architectural drawings.
  • Maintain organized job files to track projects and retrieve historical data as needed.

Requirements:

  • The ideal candidate will possess extensive experience in project management.
  • Excellent interpersonal skills and the ability to build strong relationships.
  • Must consistently demonstrate poise, tact, and diplomacy in all interactions.
  • Continual education and training in construction trades relevant to project management is essential.
  • Effective conflict resolution skills in a professional and timely manner.
  • Able to effectively manage multiple priorities.
  • Industry-standard licenses and certifications are a plus.
  • Proficiency in MS Office, as well as experience with industry-standard software such as Timberline┬« and Microsoft Project, is desirable.
